Create an app that lets users manage their meetings effectively and never miss them.

  • Product enhancement, new feature or new product?

  • Mobile, Webapp or any other device?

Business Problem: For people who attend a lot of meeting in a day, it's hard to keep track of time and manage events

Business Goal: To create an app that lets users organise and manage their meetings easily and effectively.

Understanding Users

Chandler Tribbiani says "Hii"

Chandler is a skilled developer and project lead at a multimillion-dollar MedTech startup. His main role is to oversee bug fixes, feature releases, and the product lifecycle.

He has a loving family with two sons and a devoted wife.

In 2020, during the global pandemic, Chandler and his team played a critical role in delivering medicines to remote areas using drones and conducting tests with robotics. He's considered a hero by many.

Unfortunately, Chandler is currently battling personal challenges. Let's explore them.

The isolated family man

With lots of meeting each day and a high volume of work, Chandler doesn't get any time for his family. His sons are growing up fast but he barely gets any time to play with them or have dinner with them, or teach them the important stuff. Although the whole family is under one roof now but Chandler is isolated to his desk.

The submerged congressman

On an average day, Chandler spends 6 hours in a meeting. He is the acting link between the tech team and senior management, often a junior set up a call in his calender which overlaps with his call with VPs. Due to this, he is not able to give the juniors proper attention and assistance. With so many meetings it is natural for him to forget about a few calls. He needs a reminder system.

The sore technophile

Chandler loves what he is doing that's why he can log so many hours. But this passion comes with a cost. With so much time spent sitting on a chair, in front of a screen, his body has started to complain. He is facing regular back pain and sore eyes, not to mention the extra pounds he is gaining. A balance is needed.

Chandler needs a solution to fight these demons. There is a need for a virtual assistant who would manage his meetings and would give him time for himself and his family.

This is the story of every professional who is working in this lockdown, there are many like Chandler.

Understanding Users
Define

Problem Statement

Our user is a working professional/student who needs an effective way of managing meetings and organising the day because he often finds his meetings overlapping and the calender full due to this he can't find time for his family.

Goal Statement

Our web app will let users manage meetings and schedule them which will affect students, senior professionals, remote workers & business owners by arranging their meetings using automation and importance, alerting on the overlap and giving reminders.

We will measure effectiveness by Usability testing.

Defining

I think users work digitally and spend the majority of time on screen, thus designs should consider digital well-being and refrain from using colours that cause strain to the eyes.

Assumptions

This is defined that users are having trouble managing meetings and other events throughout the day.

1

I think users who would potentially use this app are committed and generally very busy, thus designs shall be simple and more focus should be on easy follow and usability rather than making a fancy and funky UI.

2

3

I think users who would use the app are diverse from college kids to senior professionals, but I assume that we would have more users from the employee category, thus pricing should be set accordingly and most importantly they might have family, so the design should consider these points.

Assumptions
Biggest Challenge
Time
We only had 6 weeks to complete this project and that included product development, algorithm development and creating a CI/CD pipeline for deployment.
Hence I used knowledge of DevOps and Agile in design by applying Lean UX process.
Biggest Challenge

Wireframing

Design sprint of 24hrs, the purpose of the design was to have a clear understanding of what we are about to build and have developers groomed about the project, so they can begin development

Wireframing

High-Fidelity Design

Design sprint of 5 days, the purpose was to create high-fidelity designs and test them among users.

Testing Our Assumptions

We tested our designs with the team of Xebia and the results were astonishing

88%

Users thought the process was easy and simple to use

92%

Users thought this could solve their troubles with time management

74%

Users thought family feature would help them in betterment of  day to day lives

80%

Users thought our AI engine was better than most virtual assistants in use

98%

Users thought our application of Eisenhower Matrix was unique and effective

But, there were some major critics about the design too

32%

Users thought our visuals were attractive. Most of our users think the design was old school and boring.
We can't have a boring product, we have to improve it.

Our Assumptions had failed!!!

We thought users wanted a sincere-looking design and they didn't want a very funky design. We were wrong to an extent here. Don't get me wrong, a very artistic design would cause even more trouble as it would compromise easy user flow. The design should maintain simplicity but yet shall be a bit more artistic than it is right now.

Testing

Updates

Design sprint of 2 days, the purpose was to improve shortcomings of previous sprint.

After this, we tested our updates with the Xebia team and we saw an almost 46% increase in response. Over 78% of people liked the UI this time.

Developer's Guide

"For the success of any product, it's essential for designers and developers to collaborate and work together. Only then we can ensure user's problems are solved."
I took the following steps to ensure a smooth development process:
  1. Onboarding: A meeting was scheduled with stakeholders and developers and myself where we discussed the problem statement, requirements and solutions.
  2. Documentation: I ensured that all the research I have done is properly documented and I created a brief version of this document that involves whatever developers might need to understand users.
  3. Sharing numbers: In this stage of handover, I shared all the elements of the design that includes, including colour codes, button specifications, labels etc.
   4. Ensuring I as a designer am available to resolve any issues developers have and that I am reachable
in time of need even after completion of my period at Messofy, I wanted to be there for them and see this
       end-to-end delivered.
Future Scope
If more time was available then I would,
  1. I would love to include a dashboard for users to monitor their screen time, meeting time, hours logged in, time spend with family and other important data. This is the data we are already collecting so it shouldn't be challenging.
  2. Introducing a new feature for users to automatically take out time for their important routines like lunch and family time, giving them alerts if they miss out on these. This feature would have to be completely customisable by the users.
Learning

Some key takeaways from this project are:

  • Often while building projects, the base we start on might turn out to be incorrect, like happened to me in this project, one of my assumptions turned out to be wrong. But in the storm, it's important to keep a calm head and correct that mistake as soon as possible. That's what agile methodology stands for.

  • I learned a lot about implementing lean UX in real projects, and most importantly I learned to deliver multiple versions in a short period.

  • Something unconventional, but I have also involved myself in programming this app so my knowledge of the product delivery lifecycle was improved as well.
